Adjust Benefits

Able to Adjust Benefits when Homeless Verified Date More than 30 days Ago

URB 198880

Description: The Homeless Verified Date must be fewer than 30 days in the past to issue benefits. When adjusting benefits, if this date is more than 30 days ago, the message “Benefits cannot be adjusted because the household’s homeless verified date is not within 30 days of today’s date” is not displaying and the system is not requiring the date be updated prior to adjusting the benefits.

What to do: Update the Homeless Verified Date when reviewing Demographics information with the participant prior to adjusting benefits.

Resolution: Not assigned to release.

Alerts

Pregnant and Breastfeeding System Alert Not Displaying at Household-Level

URB 219163

Description: The system alert that informs you the household has a pregnant woman who is also breastfeeding is not displaying unless you open the pregnant woman's participant folder. If you open any other member's folder, it doesn't display.

What to do: Open the pregnant woman's participant folder first when opening the folder for a household with multiple members and a pregnant woman.

Resolution: Assigned to Release 3.5.0.

Bloodwork

Age at Measurement Displays Invalid Gestational Age for Previously Participating Pregnant Women

URB 233625

Description: For pregnant women who have participated in WIC before, the Bloodwork Age at Measurement is displaying an invalid gestational age based on the woman's previous cert's LMP when completed, as appropriate, prior to completing Health Information. Age at Measurement should display the woman's current age in years, months, and days until Health Information is completed.

What to do: This is a display issue. If you return to the Bloodwork page once Health Information has been completed, the correct calculated Gestational Age displays.

Resolution: Not assigned to release.

Capture Signature

Captured Signature Does Not Fully Display in WINNIE

URB 241946

Description: If, when signing the signature pad, the participant crosses the far-right line of the signature box, the signature appears completed on the signature pad. But in some instances, only half of the signature displays in WINNIE.

What to do: If you notice the participant/representative's signature went outside of the signature box, when returned to the screen with the Capture Electronic Signature button, click it again. Inform them that it works better if they stay within the lines of the signature box and ask them to sign again.

Resolution: Corrected with a revision to SWIPe; assigned to Release 3.5.0.

Existing Signature Displays when Capturing Signature for Cert

URB 232674

Description: When capturing a signature at the end of certification, an existing signature captured prior to the current cert, displays on the signature pad. This issue does not occur often, but has occurred with a pregnant, breastfeeding, and child cert.

What to do: To ensure the current certification has the most up-to-date signature, click the "Capture Signature" button, and have the participant/representative sign, which will save the correct, new signature for this cert, maintaining the integrity and validity of the certification process.

Resolution: Researching issue; not assigned to release.

Text Explanation for Participants Not Displaying on Signature Pad

URB 239106

Description: The signature pad is not displaying any text when capturing a participant’s signature for the Rights & Responsibilities and assigning a WIC Card.

What to do: This is a display issue. Explain to the participant/representative why you are collecting their signature.

Resolution: Corrected with a revision to SWIPe; assigned to Release 3.5.0.

Change Household ID

WINNIE Returns then Reissues All Direct Shipped Benefits when Changing Household ID

URB 239616

Description: When a participant has direct shipped formula for the current month and their Household ID is changed, WINNIE automatically returns and reissues all cans of direct shipped formula. This occurs regardless of whether any formula is direct shipped while adjusting benefits during Change Household ID mode.

What to do:

1. Since you cannot indicate if any of the cans of direct shipped formula were returned when changing the Household ID, if all cans were not returned, you should document in a note the actual number of cans that were returned (or if none were returned).

2. Use Adjust Benefits to return the extra cans of formula that were automatically direct shipped by the system when Change Household ID was completed.

Step-by-Step Reference: Change Household ID - Direct Shipped Formula (PDF).

Resolution: Not assigned to release.

Potential Over-Issuance if Benefits Recovered Before Changing Household ID

URB 251201

Description: If future benefits are recovered or voided (in Adjust Benefits) before changing a Household ID, the following error displays after you issue benefits in Change Household ID mode.

Step 4 Adjust Benefits. 1. Status: Error 2001 - Missing Monthly Food Benefit Function Parameters Object.

What to do: Do not adjust benefits prior to changing the Household ID. If you see this error, call the MN Help Desk immediately (1-800-488-8799, press 2, 1) for assistance. Do NOT attempt to finish the Change Household ID since this may result in over-issuance of benefits.

Resolution: Assigned to Release 3.5.0.

Documents

Unable to Generate Account Balance if LDTU Today and No Future Benefits

URB 208217

Description: You cannot generate an Account Balance if the household's benefits expire today (LDTU is today) and there aren't any future benefits. A message displays that reads: "This document cannot be generated because the household does not have benefits with an LDTU in the future."

What to do: Inform participants of other options for viewing their current balance: in the Minnesota WIC App, using the Customer Service Line (number of back of WIC Card), viewing the EBTEdge portal, or by asking the store to run a balance inquiry.

Resolution: Not assigned to release.

Military Time on Queued Appointment Notices

URB 246360

Description: Appointments are in military time on Appointment Notices generated by the Queued Appointment Notice in Documents. This is only an issue for appointments scheduled for 1:00PM and later since military time only becomes evident in and after the 13th hour (example: appt at 12:15PM displays as 12:15; appt at 1:15PM displays as 13:15).

What to do: If using the Queued Appointment Notices, cross out the military time and replace it with the standard time (13=1, 14=2, 15=3, 16=4, 17=5, 18=6, etc.). You can also use Generate Appointment Notice in the Participant Menu. This displays the time correctly.

Resolution: Assigned to Release 3.5.0.

Physical Address on Appointment Reminder and Official Notification

URB 242070

Description: The household's Physical Address, instead of Mailing Address, is printed on the Appointment Reminder and Official Notification letters.

What to do: For Appointment Reminder letters, you can print the letters in WINNIE then use the DAILY APPOINTMENTS Infoview report to print household labels.

Resolution: Assigned to Release 3.5.0.

Growth Grids

Growth Grids Button Disabled for Pregnant Women Certified in Legacy

Transition issue.

Description: The Growth Grids button is disabled when you try to view the weight gain grids in the participant folder for pregnant women certified in Legacy.

What to do: Open the Health Information page and click the Save button. Return to the Length/Height and Weight page and the Growth Grids button should be enabled.

Resolution: This is a transition issue that will no longer occur once all certs are completed in WINNIE.

Health Information

Cannot Click Cursor into First Cigarette Usage Field When Editing While in Cert Mode

URB 256682

Description: You cannot click into the Last Three Months of Pregnancy field in the Cigarette Usage card in Health Information if editing the value during a certification.

What to do: Click into the At Time of Certification field in the Alcoholic Drinks per Week card and tab forward to the field.

Resolution: Not assigned to release.

High Risk

RF 371 Automatically Flagged High Risk when “Other Nicotine Products” Toggled On

URB 256599

Description: When “Other Nicotine Products” is toggled on for Pregnant and Breastfeeding participants, Risk Factor 371 is assigned (as it should be) but the risk factor is being flagged as high risk. (Risk Factor 371 is only high risk if more than 19 cigarettes are smoked per day.)

What to do: If no other high-risk risk factors are assigned, toggle on Resolve System Assigned High Risk on the Risk Factors page to remove the high-risk designation.

Resolution: Not assigned to release.

Income

Able to Delete Itemized Income after Completing Cert

URB 197531

Description: You can delete an income contact that determined eligibility in the participant folder on the same date the certification was completed.

What to do: You should never delete an income contact that was used to determine eligibility during a certification. The income is part of the certification record and should not be altered.

Resolution: Not assigned to release.

Hourly Income Created in Legacy Displays Incorrectly in WINNIE

URB 233380

Description: WINNIE is displaying hourly income records entered in Legacy incorrectly. The amount per hour in the Description column is displaying an invalid calculation: amount per hour divided by the number of hours per week. The Amount column and Weekly Income Total are incorrectly displaying the amount per hour.

Ex: $20/hour for 25 hours/week. Calculation: 20/25 = $0.80.
Incorrect Itemized Income in WINNIE

What to do: This is a display issue. The income record is correct in the database.

Resolution: Not assigned to release.

No Option to Add Duration for Income Frequency

URB 220778

Description: WINNIE does not have a way to enter the number of weeks, months, or periods when entering income, which is necessary for calculating the household income for families that don't work year-round.

What to do: If you are unable to accurately calculate the income in WINNIE, you will need to calculate it separately the add the calculated amount into the appropriate Income Line Item.

Resolution: Not assigned to release.

Issue Benefits

"Error Loading Data" Message when Issuing Benefits to Infants

URB 225059

Description: The message "Error loading the data" displays when attempting to issue benefits to infants who are missing a food prescription with an Effective Date for one of the age categories (1, 2-3, 4-5, 6-8, and 9-11 months) and the PFDTU of a suggested benefit set overlaps one of these age category changes. When you click OK on the message, WINNIE displays the blue spin icon, and you are unable to issue benefits.

What to do: Add a food prescription with an Effective Date for the missing infant age category.

Resolution: Not assigned to release. The error message will eventually be updated to read “Benefits cannot be issued because a food prescription for age category <infant age category> is not available to generate the benefit set for mm/dd/yyyy - mm/dd/yyyy."

WINNIE Suggesting Future Sets When Toggled Off

URB 244195

Description: When a participant is issued two benefit sets (a partial and a full) in the same month and both sets have a PFDTU on the same day of the week (ex: both benefits have a Wednesday PFDTU), and you toggle off future set(s) and click the Issue Benefits button, WINNIE displays the future set(s) on the Aggregated Issuance modal and issues them if you click the Send eWIC Data button.

What to do: If the future set displays in the Aggregated Issuance modal after being toggled off, click the Close button on the modal. For each household member being issued only one month of benefits, change the Issuance Frequency (found in the Participant Menu) to Monthly, then issue the benefits.

Resolution: Assigned to Release 3.5.0.

Reset Password Link Expires after 24 Hours Resulting in Invalid Token Message

URB 203556

Description: If you click the "Forgot/Change Password" link on the login page of WINNIE, receive the Reset Password email, then wait more than 24 hours to click the link on the email, after saving your new password you will receive a red "Invalid token" message, and the system will not reset your password.

What to do: If your Reset Password email is more than 24 hours old, click the "Forgot/Change Password" link again to get another email, and reset your password immediately. If you receive the "Invalid Token" message, call the Help Desk ((1-800-488-8799, press 2, 2) for assistance.

Resolution: Not assigned to release.

Materials Given

Materials Given Modal Not Working Correctly

URB 197480

Description: When attempting to add a Materials Given Contact, in either Edge or Chrome, some users have encountered one of these issues:
1.The WIC Category dropdown does not display the category and is grayed out.
2. The Save button does not display, and you cannot save the contact.

What to do: Refresh the page or close out of WINNIE and then attempt to add the material again. If still unable to, document the Materials Given in a note.

Resolution: Not assigned to release.

Mid-Certification Assessment (MCA)

Unable to Add Blood or Nutrition Assessment Contact after Error when Starting MCA

URB 245512

Description: If the error message "An error loading the data occurred. If the problem persists, please contact Technical Support." displays after attempting to start a Mid-Certification Assessment, you will be unable to add a blood record or a Nutrition Assessment contact for the participant you are completing the MCA for and will possibly also be unable to add these types of records for any other participants.

What to do: This is caused by WINNIE somehow creating a duplicate MCA record. You will need to contact the Help Desk (1-800-488-8799, press 2, 2) to delete this second MCA record on the backend.

Resolution: Researching; not assigned to release.

Navigation

Sidebar Collapse/Expand Not Working as Expected

URB 180989

Description: If you collapse the sidebar to gain more screen real estate, WINNIE re-expands the sidebar every time the page changes.

What to do: This is a display issue. You will need to re-collapse the sidebar any time the page changes.

Resolution: Not assigned to release.

Notes

SOAP Notes Missing Risk Factors if Created on Date after Cert for Infants/Children

URB 246839

Description: If you write a SOAP Note for an infant or child on a date after their certification, WINNIE is not populating the assigned risk factors.

What to do: Best practice is to complete the SOAP note on the same day as the appointment. If the risk factors are missing, it is not necessary to add the missing risk factors in the note. However, your local agency practice is to document the reason for assigning a risk factor in SOAP notes, you should continue that practice.

Resolution: Assigned to 3.5.0.

Note Visibility Depends on Zoom Level

Description: The Edit and Delete button on the Manage Notes page may not display if you are using an increased zoom magnification.

Resolution: None.

URB 237021

Description: If you try to add a Nutrition Assessment for a Breastfeeding woman before completing the Health Information, an incorrect message displays that reads: "This participant is currently breastfeeding. To add a nutrition assessment contact, a breastfeeding infant must be linked on the participant's Health Information page."

What to do: The infant does not need to be linked as the message indicates before beginning a Nutrition Assessment for a Breastfeeding woman. However, in order for the correct Nutrition Assessment questions to display, the Health Information - Infants Born from This Pregnancy must first be completed.

Resolution: Not assigned to release.

"No records to display" Message for Child Nutrition Assessment

URB 224665

Description: The "No records to display" message indicates WINNIE is unable to populate the Nutrition Assessment questions because the child's current Breastfeeding Amount is NOT Non-Breastfeeding (questions do not exist for children with some, mostly, or fully breastfeeding amounts).

What to do: Correct the child's Breastfeeding Amount in Health Information:

  • Click Cancel on the message and open the Health Information page.

Previously Deactivated Goal Results in Dropdown

URB 245293

Description: You were unable to open the Nutrition Education page (blue spin icon and never opened) when the participant had a goal result selected that had been deactivated in 2011. In order to resolve this issue, these goal results had to be made active again.

What to do: Do not select a goal result with "(Deact. 2011)" as part of the goal. They have only been added to ensure Nutrition Education contacts can be created for all participants.

Resolution: Assigned to Release 3.5.0.

Potential Duplicate Participants

State Defined Comparison Results Grid Incorrectly Displays Compare Criteria

URB 241375

Description: In the Results gird, the First Name and Last Name columns display the full name of one of the potential duplicate participants instead of just the first 3 letters, which is the match criteria.

What to do: This is a display issue.

Resolution: Not assigned to release.

Reports

State and Local Use Answers Not in Infoview Report Outputs

Transition Issue.

Description: In WINNIE, ad-hoc Infoview reports with state or local use answers in the output do not work correctly because all answers are now stored in a different table.

What to do: Submit a Local Agency Reports & Data Request if you are currently using a report that is providing incorrect state/local use information. Enter the exact name of the Infoview report that needs to be revised or corrected in the What Information are you trying to collect field and “NA” into the How will this information be used field.

Resolution: All reports will be updated/corrected during 2025.

Username Does Not Display for New WINNIE Staff in Infoview Report Outputs

Transition Issue.

Description: In WINNIE, new staff are assigned a SPIRIT Web ID that is different from the username. For these staff, this is the ID associated with actions performed in WINNIE.

What to do: Submit a Local Agency Reports & Data Request if you are currently using a report that has usernames in it; we will update the reports to display staff names. Enter the exact name of the Infoview report that needs to be revised or corrected in the What Information are you trying to collect field and “NA” into the How will this information be used field.

Resolution: All reports will be updated/corrected during 2025.

Infoview Reports Identifying New Certifications Not Working

Transition Issue.

Description: The Create Date/Time for when a participant record was first created is used to identify whether the participant is new or existing. A bug that causes this date to update when a new measurement is added is causing these reports to not work correctly.

What to do: Submit a Local Agency Reports & Data Request if you are currently using a report that identifies new participants. Enter the exact name of the Infoview report that needs to be revised or corrected in the What Information are you trying to collect field and “NA” into the How will this information be used field.

Resolution: All reports will be updated/corrected during 2025.

Incorrect Participants for WINNIE Income in Infoview Report Outputs

Transition Issue.

Description: To ensure backwards compatibility, and to see all household income records when a new member is added, WINNIE duplicates income records that match all other existing household income records but uses the current date for the Create Date/Time instead of the actual date of the added records. Infoview ad-hoc reports use the Create Date/Time to determine the date an income contact occurred, which is no longer correct for these participants.

What to do: Submit a Local Agency Reports & Data Request if you are currently using an income report that doesn't appear to be working correctly. Enter the exact name of the Infoview report that needs to be revised or corrected in the What Information are you trying to collect field and “NA” into the How will this information be used field.

Resolution: All reports will be updated/corrected during 2025.

Risk Factors

Risk Factor 131 Not Consistently Assigned and Not High Risk when Assigned

URB 246917

Description: WINNIE does not consistently auto-assign Risk Factor 131 when pregnant women meet its criteria. If it is assigned, WINNIE is not assigning high risk, nor does an asterisk display next to 131 on the Risk Factors page.

What to do: You can CPA-assign risk factor 131 if the criteria are met. If the risk factor assigns, CPA-assign high risk if it hasn't already been assigned for another risk factor.

Resolution: Not assigned to release.

Risk Factor 114 Resolves/Removed when Health Information Saved

URB 232231

Description: For infants and children currently assigned risk factor 114, when the Health Information page is saved, 114 is sometimes incorrectly resolved or removed.

What to do: Reassign RF 114 if incorrectly resolved or removed.

Resolution: Not assigned to release.

Resource Schedule

Cannot Save Recurring Holiday/Event

URB 240362

Description: An error message displays when trying to save a recurring holiday or event if a non-recurring holiday or event already exists for the same day at the same clinic or another clinic within the agency.

What to do: Select a date a Start Date before the recurring event. For instance, if the Day and Weeks of Month are the 4th Friday for the recurring holiday/event and the Start Date is 11/22/24, enter 11/21/24 for the Start Date. Since this date falls outside of the Day and Weeks of Months selected, no holiday or event will be created on that date, the error message will not display, and the system will save the recurring holiday/event.

Resolution: Assigned to Release 3.5.0.

Scheduler/Clinic Schedule

Clinic Schedule Will Not Open

URB 243208

Description: The default Scheduler Configuration on the Clinic Schedule and Scheduler pages for all users is an Interval of 30 minutes and a Slot Count of 2. For some clinics, the Scheduler and Clinic Scheduler will not open with this setting.

What to do: Call the Help Desk if you have this issue. They can change your default settings to a Slot Count of 6, which will allow the clinic to open.

Resolution: Not assigned to release.

Appointments Remain with Old Household ID after Changing ID

URBs 242800/199618

Description: Scheduled individual appointments continue to display for the old Household ID after the Household ID is changed, and the Appointment Details displays the old ID and phone number. Additionally, WINNIE does not recognize that an appointment exists for the participant in either the Appointment section in the participant’s record, or when attempting to generate the Appointment Notice.

What to do: Delete existing future appointments before starting Change Household ID process. Schedule a new appointment after ID change is complete.

Resolution: Assigned to Release 3.5.0.

Cannot Reschedule/Delete Appointments Scheduled for Today

URB 224477

Description: Appointments missed earlier in the day cannot be rescheduled or deleted. Once the appointment is in the past, it no longer displays on Show Details on the Participant Search page.

What to do: You will need to schedule new appointments for any appointments that were missed. If the new appointment is scheduled for later the same day and benefits are issued, WINNIE will mark both appointments as Kept. For accurate no-show rates, you may want to manually remove the checkmark for the appointment that wasn’t kept.

Resolution: Assigned to Release 3.6.0.

Incorrect Colors on Clinic Schedule Legend

URB 209993

Description: The Scheduler Legends indicate pink for Holidays and blue for Events. However, the calendar displays full day Holidays and Events as pink and partial-day Holidays and Events as blue.

What to do: This is a display issue.

Resolution: Not assigned to release.

Confirmed Comment Does Not Display

Release 3.4.1: URB 252212

Description: If you write a comment after confirming an appointment, it does not continue to display the bubble icon (indicating there is a comment) after closing the Appointment Details modal. If you click the Edit icon, only the confirmation date displays and not the comment. Although it is not displaying in WINNIE, the comment is being saved to the database.

What to do: If the comment is important to your agency processes, you will need to write an alert or note instead.

Resolution: Target is Release 3.6.0.

Transfers

Incorrect DOB on Transfer Modal

URB 242414

Description: The Date of Birth on the Transfer Participant(s) modal sometimes displays a day one day before the participant's actual DOB.

What to do: This is a display issue. The birthdate is correct in the database.

Resolution: Assigned to Release 3.5.0.

VOCs

Able to Incorrectly Indicate Pregnant VOC Participated on WIC in MN

URB 197876

Description: If a household is prescreened and not VOC'd at that time, when the postpartum member is VOC'd within the participant folder, the question "Was this participant active in your WIC program during her most recent pregnancy" is not disabled. If you incorrectly click the Yes button, the system should display a validation message that reads "No pregnancy record found" and doesn't.

What to do: This does not occur if the VOC is completed when the household is prescreened. If the VOC is completed after the prescreen, and the message is enabled for the postpartum member, correctly select the No button (she did not participant in the MN WIC Program for her most recent pregnancy).

Resolution: Not assigned to release.
